All volunteer roles aim to help create a positive atmosphere and keep all the parts running smoothly, using positive energy and language, following the golden rule.
Help keep actors calm, quiet, and in their designated areas. Take turns checking the halls and restrooms to ensure children are where they are supposed to be, picking up after themselves, and behaving positively. Make sure you are visible to the actors and other volunteers so that they can find you easily and you can easily watch what is going on. Having one or two people standing near the actors and others near the doorways is ideal. Crowd control folks will also assist in cleaning up at the end of the show/rehearsal to ensure we are ready for the next event in the space, and help with actor dismissal and pick-up. Volunteers working directly with actors under the age of 18, need a background check on file.
Doing all the same crown control duties as above, plus… Make sure actors stay backstage and do not explore school hallways. When audience members are onsite, students should be escorted to the bathrooms, to make sure there is no mixing with audience members. Assist students with costume changes as needed, keep the hallways between the backstage entrances clear, help students hang costumes, and clean up the hallway after every performance. Help with dismissal. Thursday night’s performance and Friday AM performances will need all of the costumes to be rolled on stage after the performances to clear the school hallway for school students. Ideally, volunteers in this role will attend all dress rehearsals so they are prepared for the flow of activities backstage during performances. Volunteers working directly with actors under the age of 18, need a background check on file.
Assist in the various front-of-house positions to help audience members redeem their tickets, get in the correct line (VIP versus general, etc.), pass out hard copy programs to those who need them, and direct others to the digital program QR codes. Help prepare the space before the show and clean up after (Including checking bathrooms and hallways, in and around the seats, etc.) recycle hard copy programs and prepare the space for the next event.
Check-in with Rob or Jan when you arrive, to find out what tasks need to be accomplished and assist in getting set up. Moving into a new space means we have to run all the cables and set up the equipment related to the production technology, such as lighting, sound, and music equipment. We have to construct larger set pieces on site, set up the wings, prop tables, lay our dance flooring on the stage, and more. Some of the work is physical work and some is more creative.
We have to remove all of our sets, costumes, technology etc., from the rented venue and return it to our storage facility ina limited amount of time.
We will break into groups to pack up everything and move it back to the storage space (The Underground).
Hallway/Dressing Room Group: Some folks will need to help sort costumes into piles that can be washed (bag those by color) and those that cannot (keep hanging on racks). Items staying on racks will then be covered with a clear wrap for transport. Accessories and props should be boxed up and taken outside for loading into a trailer. Hallway and backstage areas will need to be cleared and cleaned.
Lobby Group: Will Clean the lobby and pack up all concessions/ticket items etc. Clear and clean the lobby. Pull up tape on all auditorium cables. Clean auditorium area, and hallways by public restrooms. Move all lobby items outside to the trailers.
Tech Group: Help unhook, sort, and roll cables, pack tech equipment (lighting/sound…), and get it into the trailers.
Set Group: Take apart set pieces as directed by Jan/Rob, and take them to the trailers, Sweep and then roll up black flooring and get it into trailers.
Transport/Unloading Team: Help drive trailers/trucks back and forth between the theatre and the Underground to unload everything into the storage space.
